Job Summary:

Company: EP Republic Ltd (Festival Republic)

Location: Grand Canal Dock, Dublin

Reports to: MD and Head of Production

Working Hours: 10am – 6pm with additional weekend and onsite working throughout festival season as required with varying hours.

Contract type: Fixed term maternity cover, expected duration until Nov 2023

Role Description

With a key focus on Electric Picnic, Marlay Park Concerts and Longitude Festival, the Event Manager is the key role within the planning team for their events. The main aim of the role is to drive forward and maintain the overview of the planning and delivery of the festival in the areas of production and licensing.

What the role includes
Line management of the Production Co-ordinator and Licensing Co-ordinator including developing and maintaining a timeline and checklist, ensuring the targets and deadlines are met
The licensing of the event in conjunction with the Licensing Co-ordinator and ensuring compliance with all licensing and legal obligations including the implementation of policies
Assisting in the writing of and updating the Event Management Plan and associated appendices along with other key submitted documents
Strong liaison with statutory and non-statutory local agencies including attendance at Statutory Agency meetings and following up on all action points
Regular liaison with and progress reports to Head of Production and Managing Director via planning meetings or any other means as appropriate
Liaison with landowners / agents re: land deal (if required) and over their requirements, tickets, meetings, reinstatement costs, etc.
Maintaining, updating and cross referencing the security schedule with site design and system changes throughout the planning phase.
Managing the procurement of key infrastructure and services e.g. security, medical, fencing, power etc. including negotiating and agreeing best prices for each contract
Negotiating and ordering the onsite requirements
Overseeing the arrangement of traffic and transport planning
Liaison with local residents
Writing and dissemination of site information and briefings across all relevant departments, staff, contractors and agencies
Working with the marketing team to ensure website copy and public information and maps are up to date
Maintaining an up-to-date budget tracker
Gathering IMRO information as required
Working alongside the partnerships team to oversee sponsor activations and ensure their requirements have been negotiated, booked and met
Preparation of a debrief report outlining potential improvements for future events
Extra responsibilities during the event onsite:
Attendance at all onsite agency meetings
Managing of all contractors, services and staff outlined above
Operational management and delivery of the event in conjunction with Festival director, silvers, event control, security co-ordinator, traffic co-ordinator and site manager etc
Ad hoc tasks as they arise
