We are looking for a Personal Assistant to General Manager for the 2025 season to join our team. The ideal candidate is passionate about hospitality and comfortable with challenges. What You’ll Do: The Personal Assistant to the General Manager provides comprehensive administrative, organizational, and communication support to the General Manager, ensuring smooth daily operations and effective information flow throughout the hotel. This role requires a highly organized, proactive, and detail-oriented individual with excellent communication and interpersonal skills. The PA will also play a key role in maintaining the hotel's online reputation and generating relevant reports. This position also requires active participation in the overall life of the hotel, fostering a positive and collaborative environment. Key Responsibilities: Executive Support: Manage the General Manager's complex calendar, scheduling appointments, meetings, and travel arrangements; Prepare and edit correspondence, presentations, and reports on behalf of the General Manager; Coordinate and manage projects as assigned by the General Manager. Communication Facilitation: Act as a liaison between the General Manager and other hotel departments, staff, guests, and external stakeholders; Facilitate clear and timely communication within the hotel, ensuring information is disseminated effectively; Organize and prepare materials for meetings and presentations; Draft and distribute internal memos and announcements. Reputation Management: Monitor and respond to online reviews and guest feedback on various platforms, maintaining a positive online presence for the hotel; Address guest concerns and complaints in a timely and professional manner, escalating issues to the General Manager when necessary; Analyze guest feedback to identify trends and areas for improvement. Reporting: Prepare regular reports on key performance indicators, guest satisfaction, and other relevant metrics; Gather and analyze data to support decision-making by the General Manager; Maintain accurate records and documentation. Administrative Support: Provide comprehensive administrative support to the General Manager, including managing expenses, processing invoices, preparing reports, and handling other administrative tasks as required. Hotel Life Participation: Actively participate in hotel events and activities, fostering a positive and welcoming environment for guests and staff; Support the hotel team in achieving its goals and objectives; Represent the hotel in a professional and courteous manner at all times. Requirements: Proven experience as a Personal Assistant or in a similar administrative role, preferably within the luxury hospitality industry. Excellent organizational, time management, and prioritization skills. Strong written and verbal communication skills in Italian and English (additional languages are a plus). Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle confidential information with discretion. Proactive and self-motivated, with the ability to work independently and as part of a team. Strong problem-solving skills and ability to handle multiple tasks simultaneously. Knowledge of reputation management tools and techniques. Flexibility and adaptability to changing priorities and deadlines.
